Claritalk or a meeting notetaker

A meeting notetaker transcribes your meeting. Then it stops.

Claritalk also transcribes your meeting — that's included in every package. The difference is what happens around it: the appointment that schedules itself, the client file that's already prepared when you walk in, and all client communication that converges in one place instead of scattered in a folder full of transcripts.

For us, meeting notetaking is a feature, not a product. Claritalk is built around the client file, not around the recording.

What a meeting notetaker misses

A client relationship is more than the hour a meeting lasts

The client discussion is one moment in a process that begins with the question of whether that client should even come in, and ends with the knowledge you'll need next year. A meeting notetaker sits in the middle of that and misses the rest.

Difference 1

Everything with the correct client file, not in separate recordings

A meeting notetaker thinks in meetings. You get a list of recordings, chronological, and separate from each other. If you want to know what was discussed this year with Bakkerij De Ridder, you'll have to search through twelve transcripts.

Claritalk thinks in client files. Every meeting, every phone call, and every email ends up with that one client. You see the complete history in one place: what was discussed, what was decided, what is still open. Even across multiple years, even if the colleague who handled the client file has since left.

That's also why phone calls and emails count. The advice you give by email is just as much client file knowledge as the discussion around the table.

With a meeting notetaker

  • A list of recordings by date
  • Only what happened in a video conference
  • Phone calls and emails are excluded
  • Searching through transcripts to find something

With Claritalk

  • One timeline per client file
  • Meeting, phone call, and email together
  • Decisions and open items separately visible
  • Searchable across all client files with DeepSearch

Difference 2

The appointment scheduler works where a meeting notetaker can inherently do nothing

A meeting notetaker needs a meeting to do anything. No meeting, no tool. But the biggest problem in an accounting firm isn't the meeting that happens — it's the meeting that never came to be.

You set how often you want to see that client per client file: quarterly, half-yearly, annually. From then on, Claritalk tracks who is due, emails the client asking when it suits them, and places the appointment in the correct calendar.

This is the area where a meeting notetaker is structurally blind, and where most advisory revenue remains untapped.

Difference 3

The meeting preparation works before the discussion, not after

A meeting notetaker tells you afterwards what was said. Useful, but it changes nothing about the quality of that discussion. The outcome is already determined the moment you walk in unprepared.

Claritalk retrieves your appointments every morning and prepares what matters for each client file: the figures from Silverfin, the outstanding tasks from AdminPulse, the mandates from FID-Manager, and a proposal of discussion topics with their source.

The result is not a faster report. The result is a better discussion, because the right questions are already on the table.

What it costs

Meeting notetaking is already in the entry-level package

You don't have to pay for the full platform to get the meeting notetaking feature. Meeting Starter at €25 per user per month includes unlimited transcription in over 100 languages, summaries, detailed reports, and to-dos.

The rest of the platform — the client file, the appointment scheduler, the meeting preparation, and the integrations — builds upon this in Business and Business+.

Frequently asked questions

What firms ask us about this

We already use a meeting notetaker. Do we need to replace it?

That is indeed the intention. Claritalk takes over that function and adds the rest. Maintaining two tools side-by-side means your conversation history becomes spread across two locations, and that's precisely the problem you aim to solve.

Is Claritalk then just a more expensive meeting notetaker?

The meeting notetaking feature is included in Meeting Starter, comparable to what a meeting notetaker costs. What you pay beyond that is for work a meeting notetaker doesn't do: appointments that schedule themselves, client files that are prepared and ready, and conclusions that automatically land in your accounting firm's systems.

What if we primarily want the transcript and not the rest?

Then start with Meeting Starter and omit the rest. You can expand later without migrating anything, as your conversation history will already be there.

Does it also work if the client simply calls?

Yes. A meeting notetaker only sees video conferences. Claritalk also captures phone calls and adds them to the same client file, along with email exchanges.

Why does it matter that everything is with the client file?

Because an accounting firm relationship lasts for years, and a meeting lasts an hour. The value lies in what is known about that client across all those discussions: what was decided last year, which follow-up was never completed, where the sensitive points are. A folder of transcripts doesn't give you that.

You only see the difference with a real client file.

Set Claritalk up yourself with one of your clients and see what happens before and after the discussion. That's precisely the part a meeting notetaker doesn't do.
